How to manage schedule

✎ Edit
↓ Quick Down

Managing a schedule (especially for construction projects like yours) is not just about writing dates — it’s about controlling time like a system.

Let me give you a simple but powerful GC-style system (SI-OS style) you can use immediately.

🧠 1. Understand the Goal of Schedule

Your schedule must answer 3 things:

  • What to do? → Tasks

  • When to do? → Timeline

  • Who does it? → Responsibility

👉 If one of these is missing → schedule will fail.

🏗️ 2. Break Work into Small Tasks (WBS)

This is called Work Breakdown Structure (WBS)

Example for a house:

1. Foundation

  • Excavation

  • Footing

  • Column starter

2. Structure

  • Column

  • Beam

  • Slab

3. Finishing

  • Brick wall

  • Plaster

  • Paint

👉 Rule:
If task > 3 days → break it smaller

📅 3. Create Timeline (Simple Method)

Start simple before using software.

TaskDurationStartFinish
Excavation3 daysDay 1Day 3
Footing4 daysDay 4Day 7

👉 Always connect tasks:

  • Excavation → Footing → Column

This is called sequence logic

🔗 4. Use Critical Path Thinking

Focus on important tasks that cannot be delayed

Example:

  • Foundation delay = whole project delay ❌

  • Painting delay = small impact ✔

👉 Ask:
“If this task is late, will the whole project be late?”

If YES → it is Critical Task

👷 5. Daily Control System (MOST IMPORTANT)

Schedule is useless without control.

Use this simple daily system:

Morning (Plan)

  • What will we do today?

  • How many workers?

  • Materials ready?

Afternoon (Check)

  • What is completed?

  • What is delayed?

  • Why?

Evening (Report)

  • Progress %

  • Problems

  • Plan tomorrow

👉 You can do this in:

  • Telegram (your team already uses it)

  • Or simple checklist

📊 6. Weekly Tracking (GC Level)

Every week check:

  • % progress vs plan

  • Delay (days)

  • Cost impact

👉 Ask:

  • Are we ahead or behind?

  • Do we need more workers?

🛠️ 7. Tools You Can Use

Start simple → then upgrade

Basic:

  • Excel / Google Sheet

  • Whiteboard on site

Advanced:

  • Microsoft Project (best for GC)

  • Primavera P6 (big projects)

⚠️ 8. Common Mistakes (Avoid This)

  • ❌ Schedule too general (not detailed)

  • ❌ No daily tracking

  • ❌ Ignore delays

  • ❌ No responsibility assigned

  • ❌ Not updating schedule

🔥 9. Simple Formula (Remember This)

Good Schedule = Planning + Tracking + Adjustment

🚀 10. SI-OS Schedule System (For You)

Since you are building your own system:

Create 3 layers:

1. Master Plan

  • Full project timeline

2. Weekly Plan

  • Detail for execution

3. Daily Task

  • Real action on site

If you want next step, I can build for you:

✅ SOP: Schedule Control for GC
✅ Telegram-based schedule tracking system
✅ Excel template for your projects
✅ Or integrate into your Sarim Insight system
