🎯 PURPOSE

To ensure the company operates with:

  • Clear structure
  • Clear responsibility

1. DEFINE ORGANIZATION STRUCTURE

Goal: Know who reports to who

✅ SOP:

Owner / Director ↓ Project Manager ↓ Site Engineer / Supervisor ↓ Foreman / Team Leader ↓ Workers / Subcontractors

Output: Clear chain of command

2. DEFINE ROLES & RESPONSIBILITIES

Goal: Everyone knows what to do

✅ SOP:

  • Owner = Direction, major decisions, client relationship
  • Project Manager = Planning, coordination, progress control
  • Site Engineer = Daily technical control, drawings, quality
  • Foreman = Worker assignment, daily execution, discipline
  • Workers = Follow instructions and complete assigned work

Rule: One role = One main responsibility

3. COMMUNICATION FLOW

Goal: Make information move clearly

✅ SOP:

  • Workers report to Foreman
  • Foreman reports to Site Engineer
  • Site Engineer reports to Project Manager
  • Project Manager reports to Owner

Use:

  • Telegram for daily updates
  • Photos for work evidence
  • Written message for issues and requests

Rule: Communication must follow the system

4. TASK ASSIGNMENT SYSTEM

Goal: Assign work clearly by level

✅ SOP:

  • Owner sets direction
  • Project Manager prepares weekly plan
  • Site Engineer prepares daily execution plan
  • Foreman assigns tasks to workers

5. REPORTING SYSTEM

Goal: Keep management informed

  • Progress photo record

Daily report should include:

  • Work completed
  • Number of workers
  • Problems / delays
  • Materials used
  • Plan for tomorrow

Goal: Use the correct information on site

  • Use latest approved drawings only
  • Keep BOQ and estimate updated
  • Record RFIs and approvals
  • Store inspection records properly

  • Material approvals
  • Inspection checklists

Rule: Wrong document = wrong work

7. DECISION AUTHORITY SYSTEM

Goal: Make decisions at the correct level

Owner Major financial decisions, client approval, company direction
Project Manager Planning, coordination, resource allocation
Site Engineer Technical site decisions, work sequence, checking
Foreman Small field decisions, daily manpower arrangement

Rule: Small issue early = easy fix, big delay later = high cost

8. DISCIPLINE & TEAM ORDER

Goal: Keep the team organized in daily operation

✅ SOP:

  • Start work on time
  • Follow instructions from direct leader
  • Use PPE and follow safety rules
  • Keep work area clean
  • Report issues immediately

Examples:

  • No helmet = stop work
  • Late report = warning
  • Ignoring drawing = immediate correction
