How to Change Font in Microsoft Project

Many Microsoft Project users want to adjust the font size or style to make schedules easier to read. However, it is important to understand that not all areas of Microsoft Project allow font customization.

1. Changing Task Text Font

You can change the appearance of task names, milestones, and other schedule text.

Steps

  1. Open your project.

  2. Go to the Format tab.

  3. Click Text Styles.

  4. Select the item you want to modify:

    • All Tasks

    • Critical Tasks

    • Noncritical Tasks

    • Milestones

    • Summary Tasks

  5. Choose:

    • Font

    • Font Size

    • Font Color

    • Font Style (Bold, Italic, etc.)

  6. Click OK.

Benefits

✅ Improves readability

✅ Highlights important tasks

✅ Makes project reports more professional

2. Changing the Timescale (Date Bar) Appearance

If you want to adjust the date labels shown above the Gantt Chart:

Steps

  1. Open Gantt Chart View.

  2. Right-click the date area (Timescale).

  3. Select Timescale.

  4. Adjust:

    • Top Tier

    • Middle Tier

    • Bottom Tier

    • Date Format

Benefits

✅ Easier schedule navigation

✅ Better visibility of project timelines

✅ Improved presentation during meetings

3. Changing Overall Microsoft Project Display Size

Microsoft Project does not allow direct font changes for column headers such as:

  • Task Name

  • Duration

  • Start

  • Finish

These headers follow the Windows display settings.

Steps

  1. Open Windows Settings.

  2. Go to System → Display.

  3. Change Scale (125%, 150%, etc.).

  4. Reopen Microsoft Project.

Benefits

✅ Larger text throughout the application

✅ Easier viewing on high-resolution monitors

Important Note

⚠️ Microsoft Project does not support changing the font style or font size of individual column headers directly.

Column headers such as Task Name, Duration, Start, and Finish use the default Microsoft Project interface settings and cannot be customized independently.

Best Practice

For a professional and easy-to-read schedule:

  • Use Text Styles to format task names and milestones.

  • Use Timescale Settings to improve date visibility.

  • Use Windows Display Scaling if the entire interface appears too small.

  • Keep fonts consistent across all project views.

A clean and readable schedule helps project managers communicate plans more effectively and reduces misunderstandings among team members.
