Purpose

The Client’s role is to define the project objectives clearly and ensure timely decisions, approvals, and payments so the project can progress without delays.

Pre-Construction SOP

  1. Define project requirements (function, size, quality, budget).
  2. Appoint architect, engineers, and contractor.
  3. Approve concept and detailed designs.
  4. Confirm project budget and timeline.
  5. Sign contract and payment terms.

Construction Phase SOP

  • Attend progress meetings (weekly/monthly).
  • Review and approve shop drawings & samples.
  • Approve IPC (Interim Payment Certificate) on time.
  • Approve Variation Orders (VO) promptly.
  • Avoid late changes unless necessary.
  • Communicate decisions in writing.
Rule: Late decision = late project = extra cost.

Payment SOP

  • Review IPC within agreed time (7–14 days typical).
  • Release payment according to contract terms.
  • Pay approved VO with next IPC.
  • Retain retention money as per contract.

Change Management SOP

  • Request changes in writing (email / VO form).
  • Review cost and time impact before approval.
  • Approve or reject VO formally.
  • Do not request verbal changes on site.
Golden rule: No written approval = no change.

Quality & Inspection SOP

  • Attend key inspections (structure, finishes).
  • Report concerns early (not at handover).
  • Trust professional consultants but verify.
  • Approve mockups and samples before bulk work.

Handover & Close-Out SOP

  • Inspect works and prepare snag list.
  • Accept handover after defects rectified.
  • Receive as-built drawings and warranties.
  • Release final payment per contract.
